1. Information we collect

The AYG website itself does not directly collect personal information.

Student registration, parent and guardian information, volunteer forms, permissions, and other ministry records are collected and managed through ChMeetings, our church management platform.

Depending on the form being completed, information may include:

• Student and parent/guardian names and contact information
• Emergency contacts and authorized pickup information
• Medical, allergy, and other health or safety information
• Learning, accessibility, sensory, communication, or other support needs
• Attendance and check-in information
• Communication preferences
• Photography and video permissions
• Transportation permissions
• Emergency medical authorization
• Volunteer information and ministry records

Some information is required for participation or safety, while other information and permissions are optional.

2. How we use information

AYG uses this information only for legitimate ministry purposes, including:

• Registering students and maintaining accurate ministry records
• Providing safe check-in and checkout
• Communicating with parents, guardians, students, and volunteers
• Planning groups, activities, meals, events, and transportation
• Understanding medical, allergy, accessibility, or other support needs
• Responding appropriately in an emergency
• Managing volunteers and ministry schedules
• Honoring family choices regarding communication, transportation, and the use of photos or video

AYG does not sell personal information or use student information for advertising purposes.

3. Information about students

Because AYG serves children and teenagers, registration and consent information for minors should be completed by a parent or legal guardian.

Parents and guardians are asked to provide accurate and current information concerning their student, including relevant medical, allergy, custody, pickup, and support information.

Federal law provides additional protections in certain circumstances when personal information is collected online directly from children under 13. 4. Student support information

Families may choose to share information about learning accommodations, sensory needs, communication needs, mobility, behavioral or emotional needs, or other circumstances that may help AYG leaders better support a student.

This information is used only for appropriate ministry, care, and safety purposes and is shared only with leaders or volunteers who reasonably need the information to support the student.

5. Photos and video

Parents and guardians may choose whether to allow their student's image to be used in AYG ministry presentations, communications, printed materials, website content, or social media.

AYG will make reasonable efforts to honor the permission selected during registration. Parents or guardians may contact us if their preference changes or if they have a concern about a particular photo or video.

6. Communications

Parents and guardians may choose which types of ministry communication they wish to receive, including email updates and text messages.

Students may participate in approved ministry communication channels according to AYG's communication policies and the permissions provided by their parent or guardian.

7. ChMeetings

AYG uses ChMeetings, operated by Jios Apps Inc., to manage registration forms, student and family information, check-in, attendance, permissions, volunteer information, and other ministry records.

8. Who has access

Personal information maintained by AYG is available only to authorized ministry leaders, volunteers, administrators, or service providers who need access for an appropriate ministry, administrative, care, or safety purpose.

Because AYG is a cooperative ministry involving multiple churches, authorized leaders serving through participating churches may have access to information when reasonably necessary for their role with AYG.

9. How long we keep information

AYG keeps ministry records only as long as reasonably necessary for ministry administration, student care and safety, recordkeeping, or legal purposes.

Parents or guardians may contact us if they would like information about their family's records corrected or removed. Some information may need to be retained for legitimate ministry, safety, or legal reasons.

10. Security

We take reasonable steps to protect the information entrusted to us and limit access to people who need it for appropriate ministry purposes.
